Cancellation Policy
TYCHR PRIVATE LIMITED
1. Introduction
This Cancellation Policy explains how session cancellations, rescheduling, and no-shows are handled for services purchased from TYCHR PRIVATE LIMITED ("TYCHR", "we", "us", "our"). It should be read together with our Terms and Conditions and our Refund Policy.
Important: Where the student is under 18 years of age, "you" means the parent or lawful guardian who entered into the agreement on the student's behalf and who is the paying party.
2. Scheduling of Sessions
a. Sessions are scheduled by agreement between you and us, subject to tutor availability. Confirmed times are shown on the Platform.
b. Once a session is confirmed, it is reserved for the student, and the tutor's time is committed.
c. The cancellation and rescheduling rules below apply to all confirmed sessions.
3. Rescheduling by You
a. You may reschedule a session without charge by giving the notice stated on the Platform or in your Order, through the Platform or to your coordinator.
b. If you reschedule with less than the required notice, the session is treated as a late cancellation (see Section 4).
c. Rescheduled sessions must be used within the validity period of the package. Rescheduling does not extend validity.
d. We will make reasonable efforts to accommodate your preferred rescheduled time, subject to tutor availability.
4. Late Cancellation and No-Show
a. A session cancelled with less than the required notice is treated as delivered and deducted in full from the purchased hours.
b. Where the student does not join within the waiting period we notify, the session is treated as a no-show and is deducted in full from the purchased hours.
c. The tutor will wait for the student for the no-show period. After that, the tutor may end the session.
d. No refund or credit is issued for late cancellations or no-shows.
e. We may, at our discretion, waive the deduction in exceptional circumstances (for example, documented medical emergency). Requests for waiver must be made in writing to contact@tychr.com with supporting evidence.
5. Cancellation by Us
a. If we cancel a session, we will reschedule at no cost and no hours will be deducted.
b. If we cannot reschedule within a reasonable period, we will credit the hours back to your account.
c. We will give you as much notice as reasonably possible of any cancellation by us.
d. Repeated cancellations by us may, at your request, be escalated to contact@tychr.com.
6. Technical Failures
a. If a session is lost to a failure of our Platform, the hours are credited back to your account. No cash refund is issued; the hours remain available for future use within the validity period.
b. If a session is lost to a failure of your device, internet connection, or environment, the session is treated as delivered and no refund or credit is issued.
c. If a technical failure occurs mid-session, we will make a fair assessment of the portion of the session delivered and credit the remaining hours where appropriate.
7. Repeated Absence
a. If the student is absent without notice for several consecutive scheduled sessions, we may release the student's slot and reallocate the tutor.
b. Validity of the package continues to run during any period of absence.
c. If we release the slot, you may request a new slot, subject to tutor availability. The released slot is not guaranteed to be available again.
8. Cancellation of the Entire Engagement
a. By you. You may stop using the Services at any time. Our Refund Policy governs any refund of unused, unexpired hours.
b. By us for cause. We may suspend or terminate your access, immediately and without refund, if you breach our Terms and Conditions, fail to pay, commit or attempt academic misconduct, behave abusively towards a tutor or staff member, or where we are required to by law.
c. By us for convenience. Either party may terminate on reasonable written notice. If we terminate for convenience, we will refund the unused, unexpired portion of hours you have paid for.
d. On termination, your licence to our materials ends and access to recordings and content may be withdrawn.
9. How to Cancel or Reschedule
a. Through the Platform — use the cancellation or rescheduling function on your confirmed session.
b. By email — write to contact@tychr.com or to your coordinator.
c. Notice period — the notice period runs from the time we receive your cancellation or rescheduling request, not from the time you send it. Please allow for processing time.
d. Confirmation — we will confirm your cancellation or rescheduling by email or through the Platform. If you do not receive confirmation, please follow up.
10. Effect on Package Validity
a. Cancellation or rescheduling of a session does not extend the validity period of the package.
b. Hours credited back due to our cancellation or a Platform failure remain subject to the original validity period.
c. If you are unable to use credited hours within the validity period, you may request an extension in writing before expiry. We may grant, refuse or condition an extension at our discretion.
11. No-Show by Tutor
a. If a tutor does not join within the waiting period we notify, and you have not been notified of a cancellation, please contact us immediately at contact@tychr.com.
b. We will investigate and, where the tutor is at fault, credit the hours back to your account.
c. Repeated tutor no-shows may, at your request, be escalated to contact@tychr.com.
12. Changes to This Cancellation Policy
a. We may update this Cancellation Policy to reflect changes in our practices, Services, or applicable law.
b. The updated version will be posted on the Platform with a new effective date.
c. Where a change materially affects your rights, we will give you reasonable advance notice by email or through the Platform.
d. The Cancellation Policy in force at the time of your purchase governs your cancellation rights, unless a change is required by law.
